Team performance

You cannot coach a team you cannot measure.

And you cannot measure a team whose techs will not log the work. Adoption comes first, which is why it is the number we lead with rather than the feature list.

94% of maintenance techs at ResProp use GetDone.

What gets measured

Four numbers, generated by the work.

Nobody fills in a spreadsheet. The data is a byproduct of closing work orders.

The GetDone analytics screen. Completed this month 1,284, average close 4.96 days against a 5.4 day target, first-time fix 95.2%, average turn 9.1 days. Below, work completed by category, a six-month trend for days to close, open backlog bucketed by age, and a technician scorecard listing closed volume, average close and callback rate per tech.
The technician scorecard is the part that changes a one-on-one: closed volume next to callback rate, so a fast tech who keeps coming back is visible.

Completion rate per tech

Open, new, active, and completed work, broken down by type. The baseline for any conversation about workload.

Callback rate

The most honest quality metric in maintenance. A fast close that comes back in a week was not a close.

Average days to close

Per tech and per category, so a plumbing backlog does not read as one person being slow.

First-time fix

Its own analytics tab. Distinguishes the tech who needs training from the tech who needs the right part in the truck.

Adoption first

94% is the number that makes the rest possible.

Most maintenance software gets ignored because it was built for the office. PMS maintenance modules are designed for accounting, and techs skip them because they are slow for someone standing in a unit with a wrench.

  • A tech's whole day runs through three screens

  • Installed as a phone app, English or Spanish

  • Close a work order by text message

  • Masked resident calling, so a tech's personal number stays private

  • Nothing to sync at the end of a shift

Worth stating plainly: the lowest-adoption property in the portfolio sits at 46%. Averages hide outliers, and the outlier is usually the interesting one.

GetDone has greatly improved my ability to manage work orders and has helped me to make more efficient use of my time.

FAQ

Performance questions

Does this turn into surveillance?
It depends entirely on what you do with it. The data comes from work orders techs already close, not from location tracking or timers. Used to find who needs a part in their truck, it helps. Used to rank people weekly, it will cost you your best techs.
What if techs will not use the software?
That is the actual problem to solve first, and it is why adoption is the number we lead with. 94% of techs at ResProp use GetDone, because the work order is on their phone and closing it by text is faster than the alternative. No adoption means no data, and no data means no performance program.
Can we tie this to a bonus plan?
Teams do. The pairing that holds up is completion rate with callback rate, because rewarding closures alone teaches people to close things twice. Add a portfolio-level turn-time component so techs are not optimizing against each other.
How do we compare techs across different properties?
Carefully. A 1966 Class C asset generates different work than a 2025 lease-up. Analytics break down by property and category so you can compare like with like, and the per-tech scorecard is scoped to their own assignments.
What does a supervisor see day to day?
A live view of every open task across the property, plus a technician leaderboard and a My Analytics scorecard each tech can see for themselves. Self-visibility does more for performance than a monthly review does.

See what your own callback rate is.

Most teams have never had the number. It is usually the most useful thing on the dashboard.
